Conferences/Workshops on Campus
This program facilitates the organization of a conference or workshop on the University of Ottawa campus related to research being conducted by Faculty members. The program provides a start-up grant to be complemented by external funding sources, with an average award of $2,500.
The Research Committee will give priority to first-time conferences/workshops, or to large-scale projects that have a strong disciplinary or interdisciplinary focus.
A conference can be defined as a scholarly event usually lasting one day or longer that:
- Focuses on one or more distinct themes in the conference discipline;
- Is open to Canadian and international researchers as well as students both graduate and, where appropriate, undergraduate.
The term workshop can be defined as a small, closed invitational event with an objective to
- Develop a particular research or scholarly agenda or delineate specific research questions and needs;
- Produce a concrete deliverable.
The Research Committee reviews proposals twice a year in April and December.
Eligibility Criteria
- Applicants must hold a full time tenure or tenure-track professorial position at the University of Ottawa;
- Applicants must be a member of the conference/workshop organizing committee;
- The proposed conference/workshop must include participants and speakers from outside of the University of Ottawa;
- Proposed conferences must be open to student participation, with reduced fees for University of Ottawa students.
Application deadline
There are two competitions per year for this program. The deadlines for submissions are:
April 15th and December 1st
Applications must be submitted at the Office of the Vice-Dean, Research (DMS 3130) no later than 4pm on the deadline date. If the deadline falls on a weekend or statutory holiday, the deadline will be extended to 4pm on the next working day following the weekend or holiday.
The event must be held within a year of the competition date.

Application requirements
Applications must include:
- RE Form, completed and signed by all parties;
- A short description of the conference/workshop including:
- Title
- Theme of the conference/workshop,
- Total number of potential participants:
- Total number of projected participants (including students)
- Total number of projected participants from the national and/or international scene
- Draft agenda
- Projected numbers of speakers and their expertise
- The need and significance of the conference/workshop for the research area.
- How the conference/workshop will contribute to enhance the visibility of research and researchers at the University of Ottawa
- Proposed deliverables and/or dissemination plans
- Overall budget for conference/workshop and budget justification
- Sources and amounts of committed external support
- Eligible and non-eligible expenses
- CV in OCGS Format. The CV should include degrees, employement history, graduate supervision, internal and external research funding and a resume of publications (especially those related to the project).
The total application, including the CV, should not exceed 15 pages (including the U-form).
- Conference description (maximum of 4 pages)
- Draft agenda (maximum of 4 pages)
- Complete conference budget (1 page)
- Budget justification (2 pages)
- Brief CV (maximum of 2 pages, see above)
Any additional pages will be removed from the application and will not be considered by the committee evaluating the proposal.
Budget justification, eligible expenses and non-eligible expenses
The justification must clearly demonstrate the need for funds from the Conference/Workshop program relative to other funding available (i.e.: faculty, external sources, registration fees for the conference etc).
Eligible expenses include
- Administrative costs, travel and subsistence fees for out of town speakers according to tri-council guidelines for a maximum of 2 days (honoraria are not permitted)
- Room and audio-visual equipment rentals
- Publication of workshop and conference proceedings
Normally, the total budget for this competition is $6,000 ($12,000 per year). The amount funded will vary depending on the amount of proposals received.
Adjudication Process and Selection Criteria
- Quality of the conference/workshop and its expected contribution to the advancement of research, including enhancing the visibility of the University of Ottawa and its researchers
- Suitability, expertise and diversity of the participants
- Provisions for the involvement of students
- Soundness and feasibility of the planning and organization
- Budget and budget justification, including:
- Justification of the proposed budget — its appropriateness, comprehensiveness and clarity;
- Extent to which the applicant is pursuing all potential sources of support, and extent to which committed external support has been received.
- Need for funds in relation to other funding available.
